Who this policy covers
Stage Manager Suite is a workspace for theater productions. This policy explains how we handle information about account holders, invited team members, audition applicants, cast members, volunteers, and other people whose information is entered into the service. A theater or account holder decides what production information to collect and who on its team may use it.
If you submitted information through a theater's audition, volunteer, or program form, contact that theater first to ask about the information it collected. You can also contact us using the address below about our handling of your data.
Information we collect
Depending on how you use the service, this may include:
- Account and team details: names, email addresses, sign-in identifiers, roles, invitations, and subscription status.
- Production details entered by workspace users: shows, audition responses, age or household details, availability and conflicts, casting, rehearsal and volunteer schedules, program submissions, notes, inventory assignments, and activity history.
- Performer and collaborator details: names, email addresses, phone numbers, biographies, vocal parts, headshots and other uploaded files, clothing sizes and body measurements such as inseam, waist, bust, neck, and shoe size.
- Billing records: plan, Stripe customer and subscription identifiers, and transaction information needed to manage subscriptions. Payment-card details are entered into Stripe's checkout, not our forms.
- Technical information needed to operate and secure the service, such as device/browser details, IP address, request logs, cookies or similar sign-in data, and notification subscription data when you enable notifications.
How we use information
We use information to provide and secure the workspace, authenticate users, process subscriptions, organize productions, send requested operational messages (such as audition, casting, volunteer, schedule, and account emails or notifications), answer support requests, troubleshoot problems, and meet legal obligations. Account holders and their authorized team members use the information they collect to manage their own productions.
We do not sell production records or use performer measurements for advertising.
Who can see it
Production records are not published to other Stage Manager Suite account holders. The account holder controls access to their workspace and may invite team members with access to selected modules. People using a public audition, volunteer, program, or other shareable link may see information the account holder chooses to make available through that link; someone with an individual management link may be able to review or edit the corresponding submission. Be careful when sharing these links.
Stage Manager Suite administrators do not have an ordinary dashboard for browsing private roster entries, measurements, or production content. Administrators can access account, plan, and payment-management information needed to operate the service. Authorized technical personnel or service providers may process stored information when necessary for hosting, security, support, or legal requirements; we cannot promise that no operator can ever access stored data.
Service providers and disclosures
We use Replit infrastructure and storage to host the app and files; Clerk to handle sign-in and account authentication; Stripe to process payments and manage subscriptions; and email delivery services, including Resend, to send service-related messages. Google Fonts serves fonts and may receive technical request information such as IP address and browser details when pages load. Browser push providers may receive a notification endpoint if you opt in. Each provider processes information needed for its function under its own terms and privacy practices.
We may disclose information when required by law, to protect the service or its users, or as part of a business transition, subject to applicable requirements. We do not make a theater's private production records available to other account holders as part of those services.
Cookies, security, and retention
Sign-in and session technologies help keep you logged in and protect accounts. The site and its providers may also use technical logs necessary for performance and security. You can adjust browser settings, but blocking essential storage may prevent sign-in or other features from working.
We use access controls and other reasonable safeguards, but no online service is completely secure. Account holders should limit team access and avoid collecting more sensitive information than their production needs.
We retain information while it is needed to provide the service and for legitimate operational, security, billing, or legal purposes. Workspace owners can manage and export certain records in the app. Deleting an item or leaving a workspace may not immediately remove copies from backups or records we are required to retain.
Your choices and younger participants
Account holders can review and update many workspace records and can use available export tools. For access, correction, deletion, or other privacy requests, email us at the address below. If a theater collected your information through its forms, we may direct your request to that theater because it controls the production record. We will handle applicable requests according to the law that applies to them.
The service is intended for adults managing productions. Theaters may collect information about minors through audition or other production forms and should obtain any necessary parent or guardian permissions before doing so. Minors should not create an account without appropriate authorization.

We may update this policy as features or practices change. The date above indicates the latest version; material changes may also be communicated through the service or by email.
